Sending confidential information or documentation by ordinary email is not recommended. Please confirm with our office first how any confidential information or documentation should be sent.

Do not send Social Security numbers, EIN documents, complete VIN or driver lists, driver licenses, medical or testing records, Clearinghouse information, tax returns, payment information, bank information, signed forms, signatures, attestations, authorizations, audit evidence, enforcement correspondence, complete agency notices, portal exports, account credentials, or other confidential records through ordinary email. HCM will confirm which records are needed and how approved records should be transmitted through a secure process.

Spanish assistance available.

An initial inquiry does not establish a client engagement or authorize a filing, payment, signature, attestation, submission, account action, regulated inquiry, or agency or third-party communication. Service availability depends on the requested work, current facts, applicable jurisdictions, required authorization, and HCM’s approved service scope. Government and third-party deadlines continue to apply while an inquiry is being reviewed. HCM does not guarantee availability, response time, acceptance, processing, approval, or another party’s action.

HCM Integrity Services is a private compliance-services company and is not a government agency or affiliated with FMCSA, DOT, IRS, or another government authority. HCM provides administrative preparation and compliance support, not legal or tax advice, government auditing, medical services, laboratory services, MRO or SAP services, testing-technician services, or another regulated decision-making function. Carriers, employers, applicants, taxpayers, and other responsible parties remain responsible for truthful records, safe and lawful operations, required review, signatures, attestations, certifications, authorizations, submissions, payments, and duties that cannot lawfully be delegated. Government agencies and authorized regulated professionals retain their respective decisions.

The responsible party must continue monitoring and satisfying all government and third-party deadlines and nondelegable obligations. A written HCM scope may assign permitted administrative tasks but does not transfer statutory responsibility or change an official deadline.

Choose the reason for your inquiry

I am starting a trucking company or applying for authority

Be ready to provide a general description of the planned operation, business status, USDOT or authority status, vehicles, cargo, jurisdictions, and launch-stage support needed.

HCM must review the actual operation before confirming requirements, service availability, or next steps. A general inquiry does not authorize a registration, authority application, BOC-3 filing, insurance transaction, payment, or agency submission.

I need help with an ongoing compliance service

Be ready to identify the general service involved, such as registrations, renewals, permits, Form 2290, IRP, IFTA, driver compliance, drug-and-alcohol responsibilities, recordkeeping, or another recurring obligation.

Each service depends on the carrier, transaction, current status, records, jurisdictions, responsible parties, and applicable requirements. A prior filing, payment, account, receipt, or credential does not by itself establish current compliance.

I received an audit request, notice, rejection, or deadline

Identify the issuing authority, type of matter, date received, stated deadline, transaction involved, and whether prior action or payment occurred. Do not send the complete notice, confidential attachments, or supporting evidence through ordinary email.

The complete original notice and current agency instructions control. Contacting HCM does not pause, extend, accept, or transfer responsibility for a deadline.

I am an existing client with a service, status, document, or billing question

Identify the client, service, transaction, invoice, or requested follow-up in general terms without sending protected records, payment information, credentials, or confidential documents through ordinary email.

HCM must verify the client and matter before discussing protected information, accepting records, changing instructions, processing payment, or communicating with an agency or third party.

HCM must review the actual matter before confirming applicability, availability, scope, required authorization, or next steps.

General information to have ready

An initial discussion may begin with:

  • Contact name
  • Carrier or business name
  • Telephone number
  • Email address
  • USDOT or operating-authority number, if applicable
  • General description of the requested service or issue
  • States or jurisdictions involved
  • Whether the person is a prospective or existing client
  • Any known filing, expiration, travel, response, audit, correction, or payment date
  • Preferred contact method and reasonable contact time

This preliminary information does not replace the source records, complete notice, transaction details, authorization, or responsible-party review that may be required after HCM confirms the appropriate service discussion.

Secure information and authorization boundaries

Ordinary-email warning: Sending confidential information or documentation by ordinary email is not recommended. Please confirm with our office first how any confidential information or documentation should be sent.

Secure-intake warning: Do not send Social Security numbers, EIN documents, complete VIN or driver lists, driver licenses, medical or testing records, Clearinghouse information, tax returns, payment information, bank information, signed forms, signatures, attestations, authorizations, audit evidence, enforcement correspondence, complete agency notices, portal exports, account credentials, or other confidential records through ordinary email. HCM will confirm which records are needed and how approved records should be transmitted through a secure process.

Credential notice: HCM will never request or use another person’s password, MFA code, verification code, passkey, recovery credential, or personal account access. Each user must use individually assigned credentials and an authorized role.

Signature and authorization notice: If a matter requires a signature, attestation, certification, authorization, applicant-only action, regulated inquiry, submission, payment, or communication with an agency or third party, HCM will identify that requirement before any action or client communication occurs.

A general inquiry, acknowledgment, discussion, proposed scope, invoice, or document request does not authorize a protected action.

Urgent matters and approaching deadlines

If your matter involves an approaching deadline, scheduled trip, expired or missing credential, audit or investigation request, out-of-service issue, enforcement notice, rejection, or other time-sensitive matter, call HCM at 800-484-4069. Do not rely solely on ordinary email or voicemail for an urgent matter.

Preserve the complete original notice, attachments, envelope or delivery evidence, application or filing copy, confirmation, payment evidence, and related communications.

Do not alter, recreate, conceal, backdate, or destroy source records. Do not assume that contacting HCM pauses or extends a deadline. Do not assume that a payment, receipt, pending status, or prior credential proves current approval or validity.

HCM must review availability and scope before agreeing to provide permitted administrative support for a time-sensitive matter. Any written HCM scope does not transfer statutory or nondelegable responsibility or change an official deadline.

Subpoenas, threatened litigation, privilege questions, preservation duties, or material legal disputes require qualified legal counsel. HCM provides administrative preparation and compliance support, not legal advice or representation.

Emergencies involving immediate danger, accidents, law enforcement, or public safety should be directed to the appropriate emergency or government authority and should not be treated as a general HCM website inquiry.

What happens after an inquiry

1. HCM receives the general inquiry

HCM reviews the contact information, general service category, jurisdictions, known dates, and nonconfidential description provided by the prospective or existing client.

2. HCM identifies the appropriate service discussion

HCM determines whether the inquiry appears to fit an available service area, requires additional general facts, belongs with an existing client matter, or should be directed to an agency or qualified professional.

3. HCM confirms scope and secure information needs

Before requesting confidential records, HCM identifies the proposed service scope, responsible parties, required records, secure transmission method, and any signature, attestation, authorization, applicant-only action, regulated inquiry, payment, or deadline issue.

4. Approved work proceeds separately

No filing, submission, payment, account access, agency communication, third-party communication, record order, or protected action occurs until the required authority and separate approval are confirmed.

HCM does not promise an immediate or one-business-day response. An acknowledgment, discussion, document request, or proposed scope does not by itself establish completion, acceptance, filing, payment, approval, or credential issuance.

Frequently asked questions

What is the best way to contact HCM?

Call 800-484-4069 or email operations@hcmintegrityservices.com with a general, nonconfidential description of the requested service or issue.

Do not use ordinary email for confidential records. If the matter is time-sensitive, call and do not rely solely on email or voicemail.

What general information should I have ready?

Have the contact and business names, telephone number, email address, USDOT or authority number if applicable, general service or issue, jurisdictions, client status, known date or deadline, and preferred contact method ready.

HCM may request additional facts only after reviewing the initial inquiry. Confidential records should be transmitted only through an approved secure process.

Can I email documents or confidential records to HCM?

Do not send confidential or protected records through ordinary email. HCM will identify which records are needed and confirm an approved secure transmission method.

Never send passwords, MFA or verification codes, passkeys, recovery credentials, payment information, medical or testing records, signed authorizations, complete notices, or other protected records through a general email channel.

What should I do if my matter has an urgent deadline?

Call 800-484-4069 and identify the type of matter, issuing authority, date received, and stated deadline without sending confidential documents through ordinary email.

Preserve the complete original records. Do not assume that contacting HCM pauses or extends a deadline or that HCM has accepted responsibility for it.

Does contacting HCM establish a client engagement or authorize action?

No. An inquiry, acknowledgment, discussion, proposed scope, invoice, or document request does not by itself establish an engagement or authorize a filing, submission, payment, signature, attestation, account action, regulated inquiry, or communication with an agency or third party.

HCM must confirm the approved scope, responsible parties, required authority, and next steps separately.

Can HCM sign, attest, make a payment, order a record, or access my account after I contact the office?

Not merely because an inquiry was made. HCM may perform only actions permitted by the applicable process, approved service scope, documented authority, and separate approval.

HCM will not use another person’s password, MFA code, passkey, recovery credential, or personal account access. Payments and protected record orders require separate explicit approval and all required authorization.

Can I visit the Miami Lakes office or deliver documents in person?

Call before traveling to the office or attempting to deliver documents. The public office address does not guarantee walk-in availability, an appointment, or acceptance of records.

HCM will confirm whether an office visit or document-delivery method is appropriate for the matter.

How quickly will HCM respond?

Response timing depends on current availability, the inquiry, service area, existing commitments, urgency, and whether sufficient general information was provided.

HCM does not promise an immediate or one-business-day response. The responsible party must continue monitoring and satisfying government and third-party deadlines and nondelegable obligations. A written HCM scope may assign permitted administrative tasks but does not transfer statutory responsibility or change an official deadline.

Can HCM guarantee that a filing, permit, credential, audit matter, notice, or other transaction will be accepted or resolved?

No. Government agencies and other authorized parties control their own processing, acceptance, issuance, findings, ratings, testing, enforcement, and regulatory decisions.

HCM can review general needs, organize information, prepare permitted work, and coordinate approved follow-up, but cannot guarantee another party’s action or outcome.
