IFTA applicability and base-jurisdiction review
Review of the planned or existing operation, vehicles, travel, registration, operational-control facts, and available records to help identify whether IFTA licensing may apply and which jurisdiction may qualify as the carrier’s base jurisdiction.
HCM does not assume that every commercial vehicle requires IFTA licensing or that a carrier may choose any jurisdiction it prefers.
Original IFTA license and decal applications
Administrative support preparing an original license and decal package using carrier-provided information and the current requirements of the applicable base jurisdiction.
The applicant remains responsible for truthful and complete information, reviewing the completed materials, and signing or attesting where required. HCM cannot sign an applicant’s certification, use its own address or identity to establish the applicant’s eligibility, or substitute its records for the carrier’s source information.
Annual renewals and decal support
Support reviewing current account, fleet, vehicle, credential, renewal, and decal information and preparing available renewal or decal transactions through the base jurisdiction.
The availability of additional or replacement decals, required proof, signatures, authorization, fees, payment methods, and credential-delivery procedures varies by jurisdiction and account status.
Quarterly IFTA return preparation support
Administrative support organizing carrier-provided jurisdictional distance, fuel purchases, fuel types, tax-paid fuel, vehicle assignments, applicable rates, credits, prior filings, and other return information for the reporting quarter.
HCM will not invent, backdate, average, reclassify, suppress, or alter distance or fuel activity to make a return balance or produce a preferred tax result. Any estimate, correction, amendment, credit, refund request, or explanation must be permitted, truthful, and supported under the current requirements of the base jurisdiction and the IFTA governing documents.
Distance and fuel-record review
Review of available trip-level distance records, jurisdictional travel, odometer or vehicle-tracking information, retail fuel receipts, automated fuel listings, bulk-fuel purchase and withdrawal records, vehicle assignments, and supporting summaries.
The carrier remains responsible for preserving complete source records and for ensuring that summaries reconcile to those records and to the filed return.
Amended returns, notices, and account discrepancies
Review of available notices, prior returns, payment records, credits, source records, and agency correspondence to identify apparent missing, inconsistent, expired, illegible, unsupported, or unresolved items.
Corrections must be accurate and supported. HCM cannot bypass agency review, create false source records, guarantee that an amendment or credit will be accepted, or control any assessment, penalty, interest, collection, suspension, revocation, reinstatement, appeal, or audit outcome.
Credential, filing-calendar, and account follow-up
Administrative follow-up on available account status, reporting periods, agency requests, filing confirmations, licenses, decals, and unresolved account items, together with general recordkeeping and filing-calendar guidance.
The carrier remains responsible for monitoring official communications, reporting operational changes, filing every required return, paying taxes and other charges through an approved method, maintaining source records, and confirming that required credentials are issued, current, properly displayed, and valid before operation.
